Job Description

Vauxhall City Farm is a hidden gem in the city; providing educational, therapeutic and recreational experieces. We are seeking a team member to liase with the community and coordinate our education and events services.

Key Roles and Responsibilities

Customer Service

  • To provide excellent customer service, in answering enquiries via telephone, email and in person
  • To direct enquiries to appropriate team members
  • To provide a warm welcome to all visitors of the farm and to help generate an unforgettable environment
  • To assist with the set up of the information desk and equip volunteers with information of the services running that day; ensuring all marketing materials are present

Administration of bookings

  • To manage the bookings for all education and event services. This is inclusive and not extensive of:
    i. School and group workshops
    • ii. Mobile farm events
    • iii. Personal and Social Development Programmes
    • iv. Meet and Greet Experiences
    • v. Young Farmer’s Club
    • vi. Incubation Projects
    • vii. Family Learning and Holiday Activities
    • viii. Seasonal workshops and events
  • To speak with prospectus Mobile Farm clients on the phone, undertaking a risk assessment and identify if a site visit is required to check for conditions of a suitable environment.
  • To update the calendar with relevant booking information so staff can easily access information.
  • To book in sessional staff to deliver education and events services.
  • To communicate event details to all staff and volunteers, coordinating the lead up to the event.
  • To work collaboratively with the Volunteer Coordinator, to ensure events are staffed with volunteers.
  • To arrange the transportation for off-site events, including booking of vehicles and drivers; ensuring the vehicles are registered for the Congestion Charge and the Ultra Low Emission Zone and parking permits.
  • To request invoices be sent to clients, ahead of their booking and ensure payment is made a minimum of 14 days prior to their booking.
  • To assist with the planning and preparation of on-site events.

Monitoring and Evaluation

  • To assist with the monitoring and reporting of data for funders, such as collecting and recording feedback.
  • To collect monitoring and evaluation documents from partners.
  • To ensure sessional staff provide de-brief forms after running events.

Outreach

  • To be proactive in contacting prospectus clients, with information about the services we provide.
  • To liase with local schools and colleges to promote the farm’s personal and social development programmes.
  • To liase with referral partners and induct young people onto employability programmes.
  • To ensure the farm is offering inspiring, informative and appropriate programmes of high quality.

Collaborative working

  • To work with colleagues, to ensure excellent services are provided to our clients.
  • To communicate all education and events bookings to colleagues during the weekly team meeting.
  • To collaborate with the Marketing Coordinator and Deputy CEO to ensure marketing materials are appropropriate.
  • To collaborate with the Marketing Coordinator to advertise events, giving enough time for ticket sales.
  • To ensure a safe and responsible working practice, adhering to Health & Safety standards.
  • To read and sign acknowledgement of all farm policies and procedures.

Person Specification

The ideal candidate will be enthusiastic, outgoing and friendly, ready to represent the farm with professionalism. They will have significant experience of coordinating events and working within a customer facing environment. Excellent communication skills are an essential as you will work both independently and as part of the wider team. We are looking for a candidate who is passionate about the work of the farm and has a proactive approach in identifying and assisting with developments.

The postholder will therefore be subject to a DBS check on appointment and on an appropriate review basis thereafter.
